Client-provided data remains subject to the applicable client agreement, statement of work, data processing agreement, or other contractual terms. We do not use confidential client information for unrelated purposes merely because it is processed through our systems. Where AI or third-party AI infrastructure is used as part of a service, the applicable project architecture, contracts, and service-provider terms may determine how that data is processed. Clients are responsible for ensuring that information they provide to Helixora is collected and provided lawfully and that they have the necessary rights and permissions to allow Helixora to process it.
5. AI Systems and Automated Processing
Some Helixora products and services may use artificial intelligence, machine learning, automation, natural-language processing, computer vision, or other automated technologies. Depending on the service, these systems may process information to generate responses, analyze documents or data, automate workflows, classify or extract information, generate content, analyze images or video, assist with customer communications, and perform business operations. AI-generated outputs may not always be accurate or complete and should be reviewed where human judgment is necessary.

We may use cookies, pixels, tags, analytics technologies, and similar tools to operate and improve our website. These technologies may help us remember preferences, understand website usage, measure marketing campaigns, analyze traffic, improve website performance, understand conversions, and provide relevant advertising or remarketing. You may be able to control cookies through your browser settings and, where applicable, through our cookie-consent mechanism. Disabling certain cookies may affect website functionality.

We may use third-party analytics, advertising, CRM, marketing automation, and attribution platforms to understand website activity and business performance. These services may process device information, IP address, website interactions, campaign interactions, referral information, and conversion information. We may use advertising platforms such as search or social advertising services to promote Helixora and its products. Where required by applicable law, we will provide appropriate choices regarding targeted advertising or similar processing.

We may use customer relationship management (CRM), sales automation, scheduling, communication, and business-development platforms to manage relationships with prospects and customers. Information stored in these systems may include contact information, company information, communications, meeting information, sales activity, proposals, customer requirements, and follow-up information. Access is limited according to business needs and appropriate access controls.
9. How We Share Information
Service providers. We may use third-party providers that help us operate our business, including cloud hosting, data storage, CRM, email, analytics, advertising, AI infrastructure, software development, customer support, payment processing, communications, scheduling, and security providers. These providers receive information only as reasonably necessary to provide their services or perform functions on our behalf.
Legal and security purposes. We may disclose information when reasonably necessary to comply with applicable law; respond to lawful requests; protect our rights; prevent fraud or abuse; protect users or others; investigate security incidents; or enforce our agreements.
Business transactions. If Helixora is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to applicable law.
We do not sell personal information for monetary consideration as a business practice.
10. International Data Transfers
Helixora operates internationally and may work with clients, employees, contractors, service providers, and technology partners in different countries. Personal information may therefore be processed or stored in countries other than the country in which you reside. Where applicable, we take reasonable steps to ensure that international transfers are handled in accordance with applicable privacy requirements and appropriate contractual or other safeguards.
11. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, or destruction. Depending on the system and sensitivity of information, safeguards may include access controls, authentication, encryption where appropriate, secure cloud infrastructure, monitoring, backup procedures, security reviews, least-privilege access, vendor security controls, and confidentiality obligations. However, no internet transmission or electronic storage system can be guaranteed to be completely secure.
12. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing services, maintaining business relationships, completing transactions, meeting contractual obligations, resolving disputes, maintaining business and financial records, complying with legal obligations, and preventing fraud and abuse. Retention periods may vary. When information is no longer reasonably required, we may delete, anonymize, or securely dispose of it, subject to legal or legitimate business requirements.
13. Your Privacy Choices
Depending on where you live and applicable law, you may have rights regarding your personal information, including rights to access information we hold about you; request correction; request deletion; request information about how your data is used; opt out of certain marketing communications; opt out of certain targeted advertising or similar processing; withdraw consent where processing is based on consent; and request additional information about our data practices. Some rights are subject to legal exceptions and limitations.

We may send business-related communications, including product announcements, service updates, industry information, events, offers, newsletters, and follow-ups regarding inquiries or business relationships. You may unsubscribe from marketing emails using the unsubscribe mechanism included in the communication or by contacting us. Opting out of marketing communications does not necessarily stop transactional, security, contractual, or other necessary communications.
15. Third-Party Websites
Our website may contain links to third-party websites, platforms, applications, or services. We are not responsible for the privacy practices, security, or content of third-party services. We encourage you to review the privacy policies of those services before providing them with personal information.
16. Children’s Privacy

We do not knowingly collect personal information from children in violation of applicable law. If you believe a child has provided personal information to us, please contact us so we can investigate and take appropriate action.
17. Sensitive Information
Please do not submit highly sensitive personal information through our general website forms unless specifically requested and appropriate security and contractual arrangements are in place. If a Helixora project requires processing sensitive information, such processing may be governed by additional contractual terms, security requirements, data-processing agreements, or applicable industry-specific laws.
18. Client Data and Data Processing Agreements
For certain enterprise engagements, Helixora may act as a service provider, processor, or similar role on behalf of a client. Where appropriate, the parties may enter into a Data Processing Agreement (DPA) or other contractual documentation defining categories of data, processing purposes, security requirements, retention, subprocessors, international transfers, data-subject requests, incident management, and data deletion or return. If there is a conflict between this Privacy Policy and a signed client agreement regarding client-controlled data, the applicable client agreement will govern to the extent permitted by law.
19. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, technology, legal requirements, or business practices. When we make changes, we will update the Effective Date at the top of this Privacy Policy. We encourage you to periodically review this page.
